We are looking for a structured and detail oriented HR and Payroll Coordinator to strengthen our HR team. This role combines hands on payroll administration with operational HR support and will be a key part of ensuring smooth, compliant, and well structured people processes across the organisation.
You will work closely with managers, employees, external payroll partners, and HR, supporting the full employee lifecycle — from employment contracts and onboarding to payroll coordination and follow ups. This is a great role if you enjoy structure, systems, and being a reliable support for both people and business.
Key responsibilities:
HR administration and coordination
Prepare and manage employment contracts and contract changes.
Support onboarding and offboarding processes.
Act as superuser and system administrator for our HR system Hailey, maintaining accurate employee data and supporting users across the organization.
Assist managers with operational HR questions and routines.
Create and manage job advertisements in Teamtailor and support managers during the recruitment process.
Ensure that company policies and HR-related documentation are regularly reviewed, updated, and compliant with current legislation in each operating country
Payroll administration
Serve as the main contact with external payroll providers to ensure timely and efficient payroll.
Manage payroll processes, including accuracy checks and payment execution.
Record and reconcile payroll data in our business system to ensure correct financial reporting.
Provide payroll providers with required employee information, such as onboarding and offboarding details.
Handle payroll deviations and adjustments to secure correct salary calculations.
Act as the internal payroll support for our employees
Manage ad-hoc public reporting and corresponding requests
Manage external pension platforms to ensure compliant and accurate data
Who we are looking for:
To thrive in this role, you enjoy a fast‑paced and evolving environment, and you are energised by creating structure and clarity as we grow. You take pride in being highly accurate and detail‑oriented - precision is essential in this role.
You like shaping “how we do things”, setting routines, and building processes that support both the team and the business. Creating clear and compliant documentation and policies comes naturally to you, and you’re motivated by contributing to a growing organisation where your work truly makes a difference. With your combination of accuracy, initiative, and a people‑focused approach, you help bring order and stability to a company in expansion — and you enjoy doing it.
