We are seeking an Operations & Experience Delivery Coordinator to join KMX. This is a delivery-critical role reporting directly to the Head of KMX.
You will ensure that every confirmed booking translates into a professionally executed experience. From supplier coordination to documentation control and departure readiness, you will be responsible for operational excellence across all KMX departures.
This role requires structure, precision and calm execution under pressure.
Key Responsibilities
Operational Delivery
• Manage booking administration across all confirmed departures
• Coordinate accommodation, transport and logistics providers
• Prepare and maintain accurate rooming lists and operational records
• Track operational timelines for each trip
• Ensure departure packs and documentation are complete and accurate
Supplier & Delivery Partner Coordination
• Maintain relationships with accommodation and transport providers
• Support guide contract documentation in collaboration with the Head of Experience Design & Guide Leadership
• Ensure supplier agreements and documentation are complete and up to date
• Monitor supplier reliability and escalate performance issues where required
• Identify and flag operational risks early
Documentation & Systems Control
• Maintain structured digital filing and documentation systems
• Ensure waivers, terms and compliance documents are current
• Support operational website updates where required
• Improve internal administrative processes for efficiency
• Support risk register maintenance and operational reporting

Profile We Are Looking For
• Highly organised and process-driven with strong attention to detail
• Minimum 3 years’ experience in tourism, ideally within a Tour Operator or adventure travel environment
• Proven experience in travel operations, logistics or experiential delivery (essential)
• A strong interest in winter sports or adventure travel is highly appreciated, and experience in ski touring or mountaineering is considered a strong advantage.
• Self-driven, proactive and accountable
• Calm under pressure with strong prioritisation skills
• Comfortable coordinating multiple suppliers simultaneously
• Strong organisational and administrative capabilities
• Able to identify, assess and mitigate operational risk
• Fluent in English (written and spoken) – additional languages are advantageous
• Able and willing to travel as required to fulfil operational responsibilities
Experience within adventure travel, outdoor tourism or complex logistical environments is required.
The position is a full-time position based in UK or Sweden, with start as soon as possible.
